Job Summary

We are seeking a highly organized and detail-oriented Legal Secretary/Executive Assistant to join our dynamic legal team. In this vital role, you will provide comprehensive administrative and clerical support to attorneys across various practice areas, ensuring smooth and efficient legal operations. Your proactive approach and exceptional organizational skills will help manage legal documentation, facilitate communication, and streamline case workflows, empowering our legal professionals to deliver outstanding service to clients. Duties and Responsibilities

  • Serve as the primary point of contact between attorneys and clients.
  • Answer phones and relay messages to the attorney(s).
  • Prepare, review, and manage legal documents including contracts, pleadings, briefs, and correspondence with precision and attention to detail.
  • Conduct legal research using platforms such as Westlaw to support case preparation and strategy development.
  • Schedule appointments, court dates, client meetings, and coordinate with external agencies while managing calendars for attorney(s).
  • Assist with client interviews, document review, and gathering relevant information for case development.
  • Draft clear and professional legal writing, including memos, reports, and summaries; proofread all documents for accuracy.
  • Support litigation processes by managing discovery documents, filing court documents electronically or physically, and tracking deadlines. Monitor project deadlines and follow up on action items to keep things on schedule.
  • Provide executive administrative support through data entry, phone etiquette, filing systems, and general clerical tasks to ensure office productivity.
  • Assist with invoicing clients and payment of accounts payable using software such as QuickBooks, TimeSolv and track AR/AP in Excel spreadsheet.
  • Assist with document preparation for complex real estate development financial transactions.
  • Manage calendars, schedule meetings and coordinate travel.
  • Handle confidential information with a high level of discretion.

Requirements

  • Proven experience as a Legal Secretary or in a similar administrative role (College education may function as alternative for work experience).
  • Proficiency in Microsoft Office, including Word, Excel and Adobe (Similar software experience is acceptable with willingness to learn Word, Excel and Adobe).
  • Proficiency with or willingness to learn legal research tools including Westlaw.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Exceptional written and verbal communication skills; keen proofreading abilities for accuracy in all documents.
  • Strong project management skills to handle multiple deadlines while maintaining attention to detail.
  • Demonstrated ability to conduct interviews professionally while maintaining confidentiality and discretion.
  • Knowledge of legal drafting standards combined with strong research skills to support complex cases across diverse practice areas is preferred.
  • Ability to work independently and as part of a team.
